Dentrix Systems and Burnout: How to Fix What’s Breaking Your Practice

Claire Dickinson, Operations & Professional Relationships Director

Claire has over 22 years of experience in dentistry and a bachelor's degree in Business Management and a master's in Organizational Management and Leadership.

If I’m being honest, the conversations I’ve been having lately with dental practices are heavy.

We’re kicking off Q2, and instead of excitement, I’m hearing exhaustion.

Doctors staying until 7 or 8 PM balancing day sheets. Logging in from home just to finish clinical notes. Running the back office even with two assistants. Pulling personal funds just to make payroll.

And here’s the truth: this isn’t a Dentrix problem.
This is a systems problem.

But the good news? That means it’s fixable.

The Real Reason Dentrix Isn’t “Working”

Dentrix is not failing you.

Your systems are.

When a practice feels overwhelmed, burned out, and chaotic, it almost always comes back to one thing:

There are no clear systems, no delegation, and no trust in the process.

And if you don’t believe me, just look at how much smoother things run when you implement something as simple as a structured pre-visit workflow like this.

Preparation alone can eliminate a massive amount of daily stress.

Burnout Isn’t About Being Busy

Let’s call this out clearly.

Burnout is not about working hard.
Burnout is about working inefficiently for too long.

When you don’t have:

  • SOPs
  • Clear job roles
  • Trust in your team
  • Systems that actually support you

You end up in survival mode.

And survival mode is not sustainable.

Dentrix Can Reduce Burnout (If You Use It Right)

Here’s where things start to shift.

Most practices are sitting on powerful tools inside Dentrix that they’re barely using.

One of the biggest missed opportunities I see? Insurance workflows.

If your team is still scrambling with eligibility, claims, and estimates after the patient is already in the chair, you’re creating unnecessary chaos.

This is exactly why I always point teams back to The Trickle-Down Effect of Preparation.

Because when eligibility is handled before the visit, it directly impacts:

  • Clean claims
  • Accurate estimates
  • Accounts receivable

And that reduces stress across the entire practice.

You Don’t Need More Time. You Need Better Systems.

One of the biggest lies I hear is:

“I just don’t have time to build systems.”

But here’s the reality:

You don’t have time NOT to.

Yes, it takes effort upfront.
But without systems, you will keep paying for it with your time, your energy, and your sanity.

Start Here (Simple, Practical Fixes)

If your practice feels overwhelmed right now, don’t overcomplicate it.

  1. Ask for Help (Clearly)

Stop expecting your team to read your mind.

Say:
“I need help with this. Who can take this on?”

  1. Use AI to Build SOPs Faster

You don’t need to write everything from scratch anymore.

Speak it out. Let AI build the first draft. Refine it.

Done.

  1. Fix One System at a Time

You don’t need a full overhaul overnight.

Pick one:

  • Insurance
  • Clinical notes
  • Scheduling
  • Morning huddle

Fix it. Lock it in. Then move on.

  1. Stop Reacting and Start Preparing

The practices that struggle the most are always reacting.

The ones that thrive are preparing.

That’s why your daily workflow matters so much and why building structure into your day (before patients arrive) is one of the most powerful shifts you can make.

The Bigger Picture

Dentistry is still an incredible profession.

But it’s more complex than ever.

You don’t win by working harder anymore.
You win by building systems that support you.

And Dentrix, when used correctly, can absolutely do that.

Final Thoughts

If your practice feels heavy right now, you’re not alone.

But staying stuck there is a choice.

You can keep doing everything yourself…
Or you can build systems, trust your team, and create a practice that actually supports you.

One step at a time.
