Dentrix AI Data Analysis: 4 Ways to Make Smarter Practice Decisions
Everyone is talking about artificial intelligence in dentistry. From AI receptionists to insurance eligibility tools and diagnostic imaging, the possibilities are exciting!
But I've been thinking about something a little different.

What if you could use AI to better understand the data already sitting inside your Dentrix software?
Your practice management software contains valuable information about your production, collections, insurance participation, and patients. The challenge isn't necessarily getting the data. It's knowing what to do with it.
Today, I want to share four practical ways you can combine Dentrix reports with AI to uncover opportunities and make smarter business decisions.
And the best part? You may not need to purchase another software subscription.
How to Use Dentrix Data With AI
Dentrix Core allows you to export certain reports and lists into Excel or CSV files.
Once you've prepared that information appropriately, an AI analysis tool can help you identify patterns, compare results, and explore different business scenarios.
Here's the process I recommend:
- Identify the business question you want answered.
- Export the appropriate Dentrix report or custom list.
- Remove patient identifiers and other protected health information.
- Review the remaining data for re-identification risks.
- Upload only appropriately de-identified or non-PHI data into an AI tool.
- Ask specific questions and validate the results.
Remember, AI is a tool to support your decisions, not replace your professional judgment.
- Analyze Dentrix Fee Schedules to Explore Production Opportunities
One of the easiest places to start is your Dentrix fee schedules.
You can export your full fee schedule and participating insurance fee schedules into CSV files.
Since fee schedules generally don't contain patient information, they're a useful starting point for AI analysis.
For example, you could compare your full fees with your Delta Dental fees.
Then ask:
"Based on these fee schedules, what additional procedure volume would be required to increase monthly production by $10,000?"
AI can help model different scenarios involving crowns, restorative procedures, or other services.
Of course, fee schedules alone cannot determine profitability. You'll also need information about expenses, procedure mix, and available appointment capacity.
If you're reviewing your fees as part of this process, I also recommend reading my article on how to update your Dentrix fee schedules without disrupting your workflow. Understanding how your fees are configured is an important first step toward making accurate financial projections.
- Evaluate Insurance Participation and Patient Trends
Have you ever wondered how much of your practice depends on one insurance company?
This is another opportunity to use Dentrix data.
In Dentrix Office Manager, navigate to Letters & Custom Lists.
You can create lists using filters such as:
- Insurance plan
- Patient status
- Last visit date
- Other available patient criteria
For example, you could compare your total active patient population with the number of patients participating in a specific insurance plan.
AI can help calculate percentages and model potential changes in insurance participation.
This information becomes especially valuable when evaluating whether to remain in-network with an insurance company.
For privacy, I recommend starting with aggregate counts rather than patient-level records whenever possible.
- Use AI to Evaluate Dentrix Accounts Receivable
Your Dentrix Collection Manager contains valuable information about outstanding balances.
But what does that information actually tell you?
You can copy Collection Manager information into Excel and prepare it for analysis.
Then ask questions such as:
- What percentage of receivables is over 90 days?
- Which aging categories need attention?
- How would reducing older balances affect cash flow?
- What collection trends should we investigate?
This is where AI can become a valuable business analysis assistant.
Instead of simply reviewing numbers, you're asking what those numbers mean and what actions might improve your financial performance.
I also encourage dental teams to connect their financial analysis with clearly defined goals. In my article on how to set, track, and achieve Dentrix production goals, I explain how to establish meaningful targets and monitor performance directly inside Dentrix.
Combining accurate reporting, production goals, and AI analysis can give you a more complete picture of your practice's financial health.
- Find Opportunities in Unscheduled Treatment and Patient Retention
Another valuable Dentrix resource is the Treatment Manager.
You can export appropriate information into Excel and analyze your unscheduled treatment opportunities.
For example, you might ask:
"How much additional production could we generate if we scheduled 10% more of our outstanding treatment?"
Of course, identifying opportunities is only the beginning. Your team also needs a consistent follow-up process.
I've shared additional strategies for using Dentrix Treatment Manager to improve case acceptance and recover unscheduled treatment. This is where your data analysis can turn into real scheduling opportunities.
You can also compare appropriately prepared monthly patient-status reports to identify changes in your active and inactive patient populations.
Dentrix doesn't directly provide every historical comparison you might want. AI can help compare saved reports over time.
These insights can support patient retention strategies, treatment follow-up, and scheduling goals.
Protect Patient Information Before Using AI
This is extremely important.
Never assume an AI platform is HIPAA compliant simply because it accepts spreadsheets or advertises healthcare features.
Removing patient names alone does not necessarily make information de-identified. Chart numbers, dates, and combinations of other details may still identify patients.
Before uploading data, confirm that it meets applicable HIPAA de-identification requirements or that your organization has approved the platform for handling PHI with appropriate safeguards and agreements.
When possible, use aggregated financial and operational data instead of patient-level information.
Frequently Asked Questions About Dentrix and AI
Can I export Dentrix reports into Excel?
Yes. Certain Dentrix reports and custom lists can be exported or copied into Excel or CSV files for additional analysis.
Can AI analyze Dentrix production and collections?
Yes. AI can help identify patterns, calculate percentages, and model scenarios using appropriately prepared production and accounts receivable data.
Can I use AI to evaluate dental insurance participation?
Yes. Aggregate patient counts, insurance participation percentages, and fee schedule information can help you evaluate different business scenarios.
Is it safe to upload Dentrix patient data into ChatGPT or Copilot?
Not automatically. You must evaluate the platform's privacy protections, applicable HIPAA requirements, and whether the information contains PHI before uploading it.
Turn Your Dentrix Data Into Better Decisions
Your Dentrix software already contains information that can help you make smarter decisions about your practice.
You don't always need another expensive platform to uncover those opportunities.
Start with one question. Export the appropriate information. Protect patient privacy. Then use AI to explore what your data is telling you.
The real value isn't simply collecting more data. It's learning how to use that data to improve your practice.
