Dentrix Optimization: 5 Ways to Get More From Your Software

Your dental practice management software should make your team's life easier, not create more work.

Watch Dayna's interview with Kevin Henry, Editor in Chief of Dr. Bicuspid.

Watch it on YouTube:

I've spent most of my career helping dental teams optimize their software and systems. One thing I see repeatedly is practices investing in powerful software but not taking advantage of everything it can already do.

Before you buy another platform or add another subscription, I want you to ask one question:

Are we fully optimizing the Dentrix tools we already have?

Here are five areas I believe every Dentrix practice should evaluate.

  1. Map Your Schedule With Dentrix Perfect Day Scheduling

One of my favorite Dentrix features is Perfect Day Scheduling.

Instead of leaving your team to guess where appointments should go, map out your Appointment Book so they have a roadmap.

Create designated blocks for:

  • New patients
  • Larger restorative cases
  • Surgical procedures
  • Scaling and root planing
  • Other priority appointments

A mapped schedule can support your production goals, simplify onboarding, and create more consistency when multiple team members schedule patients.

It also becomes increasingly important as practices adopt online booking. Your Perfect Day Scheduling blocks can help you maintain control over where appointments are offered while making scheduling more convenient for patients.

I've seen firsthand how Dentrix online scheduling and AI search can work together with Perfect Day Scheduling to give patients easier access while helping the practice maintain control of the Appointment Book.

  1. Automate Tasks You're Still Doing Manually

My second recommendation is simple: let Dentrix do more of the work.

Look at the tasks your team performs every day, week, or month. Which ones could be automated?

Depending on your setup, Dentrix can automate processes such as:

  • Closing transactions
  • Locking clinical notes
  • Resetting insurance benefits
  • Processing certain payments
  • Running billing statements
  • Performing routine database tasks

Automation saves time, but it doesn't mean you completely forget about the process. Your team should still oversee automated tasks and make sure they're working correctly.

The goal is to remove repetitive work without losing accountability.

  1. Put Your Dental Practice Goals Inside Dentrix

If your production goals live in an elaborate spreadsheet that nobody looks at, they're probably not helping your team very much.

I want your goals where your team can see them.

Enter production goals into your practice management software and encourage your team to monitor them throughout the day.

Your hygienist should be able to answer:

Am I at goal today?

Your scheduling team should know whether the practice is booked to goal. Your leadership team should be able to see whether you're on track for the month and year.

If your team isn't doing this yet, I walk through how to set, track, and actually hit your Dentrix production goals, including where to enter those goals and how your team can monitor them inside Dentrix.

When goals are visible, your team can actually respond to them.

For example, if hygiene is under goal, there may be an opportunity for appropriate same-day treatment.

  1. Ask Better Questions Before Adding Third-Party Software

I'm not against third-party dental software. There are some fantastic tools available.

But if you're adding another platform, it needs to solve a specific problem and integrate properly with Dentrix.

Don't simply ask a vendor:

"Does your software integrate with Dentrix?"

That's not specific enough.

Instead, ask exactly what happens to the data.

If you're evaluating electronic patient forms, for example, ask:

"Will the patient's medications, allergies, and health alerts sync directly into the appropriate Dentrix Health History fields?"

Saving a PDF into Dentrix might technically be called an integration, but if your team then has to manually re-enter all the information, have you really saved any time?

I want integrations that reduce work, sync data securely, and put information where your team actually needs it.

Before purchasing another platform, I recommend taking a hard look at whether you can maximize Dentrix before adding more dental software. Your core systems should be working first. Additional technology should enhance those systems, not compensate for broken workflows.

  1. Budget for Dentrix Training Every Year

This may be one of the most important recommendations I can give you.

Software training shouldn't be a one-time event.

Dentrix changes. New features are released. Your workflows evolve. And your team changes.

Even an experienced new hire may arrive with habits from another practice that don't match your systems.

That's why I recommend budgeting for software training every year, just like you budget for clinical continuing education.

Training helps your team understand not just what buttons to push, but how your practice uses Dentrix consistently.

That consistency is what turns software into a system.

Frequently Asked Questions About Dentrix Optimization

What does Dentrix optimization mean?

Dentrix optimization means configuring and using the software intentionally so it supports your practice's scheduling, financial goals, patient care, documentation, and daily workflows.

How can Dentrix improve dental practice efficiency?

Start by mapping your schedule, automating repetitive tasks, tracking production goals inside the software, and creating standardized workflows your entire team follows.

Should I add third-party software to Dentrix?

Only when it solves a clear problem. Before purchasing, verify exactly how the software integrates, where data is stored, what information syncs, and whether it creates additional manual work.

How often should dental teams receive Dentrix training?

I recommend ongoing training every year, along with additional training when you onboard new team members, change workflows, or implement new Dentrix features.

Why should production goals be entered into Dentrix?

Keeping production goals inside your practice management software makes them more visible and actionable for the team instead of separating important performance information into outside spreadsheets.

Make Your Dentrix Investment Work Harder

Your practice already invests a significant amount of time, money, and energy into its practice management software.

Make that investment work for you.

Map your schedule. Automate repetitive tasks. Track your goals. Ask deeper questions about integrations. And make ongoing Dentrix training part of your annual plan.

You may discover that the solution to your biggest workflow challenges isn't another piece of software.

It may be learning how to better use the powerful tools you already have.
