Dentrix Scheduling Lists: Fix Your Unscheduled and Continuing Care Workflows

One of my favorite things to do with dental teams is a practice assessment. I remote into their Dentrix software, look at their numbers, review their systems, and see what's really happening behind the scenes.

Numbers tell a story, but so does your data.

Lately, I've noticed a consistent problem during these assessments: Dentrix scheduling lists are getting messy. In particular, the Unscheduled List and Continuing Care List are often so cluttered or inaccurate that teams stop using them.

That's a problem because these are two of my favorite Dentrix tools for keeping your schedule full, improving patient retention, and preventing patients from falling through the cracks.

What Is the Dentrix Unscheduled List?

The Dentrix Unscheduled List is essentially a holding bucket for patients who need an appointment but aren't currently scheduled.

Patients may land there because they:

  • Broke an appointment
  • No-showed
  • Asked to call back
  • Need a future delivery appointment
  • Aren't ready to schedule yet

For example, if someone cancels an appointment, I recommend moving that appointment to the Unscheduled List and documenting the reason in the Dentrix Office Journal.

That way, the next team member who speaks with the patient knows exactly what happened.

Don't Let Patients Sit on the Unscheduled List Forever

Here's one of the biggest problems I'm finding: the lists are way too long.

I've opened Unscheduled Lists containing appointments that are more than two years old.

When a list gets that long, it stops being useful.

My recommendation is to keep patients on your Unscheduled List for no more than about three months in most situations.

Document your follow-up attempts in the Office Journal. If you've reached out multiple times without success, remove the old appointment from the list.

You're not losing the patient. You're simply keeping your working list manageable.

Think of it this way: A shorter list your team actually works is more valuable than a massive list everyone ignores.

Simplify Your Customized Dentrix Lists

Another issue I see is too many customized lists.

I'll open the menu and find:

  • Julie's List
  • Dr. V's List
  • Hygiene List
  • Dr. J's List
  • A list belonging to someone who left four years ago

Do you actually need all of them?

Probably not.

For the Unscheduled List, I prefer using the standard list and filtering the columns by provider when needed. If I want Dr. V's patients, I can simply filter by provider.

Too many choices create confusion. And when your team isn't sure which list they're supposed to work, eventually they stop working any of them.

Clean Up Your Dentrix Continuing Care List

Your Dentrix Continuing Care List is another powerful tool for patient retention, especially for patients overdue for Prophy or Periodontal Maintenance.

However, I recommend customizing these lists around the patients who actually need your attention.

You might create:

  • Prophy: 6 months overdue
  • Prophy: 1 year overdue
  • Perio Maintenance: 6 months overdue
  • Perio Maintenance: 1 year overdue

I don't need a list showing patients due next week or next month.

I want to know who is overdue.

Those are the patients who need our attention.

Broken Appointments Shouldn't Stay on the Schedule

Here's another red flag I look for during a Dentrix practice assessment.

When I open the Continuing Care List, the appointment column should generally be empty for truly unscheduled overdue patients.

If I'm seeing old appointment dates from last month or last year, that tells me broken appointments may have been left sitting on the Appointment Book.

Why does this matter?

Your automated patient engagement system may still think that patient has an appointment. That could interfere with overdue Continuing Care reminders.

If a patient cancels or no-shows, manage that appointment correctly instead of leaving an old appointment sitting on the schedule.

Watch for Duplicate Continuing Care Types

I also frequently find patients attached to both Prophy and Perio Maintenance Continuing Care.

That creates inaccurate lists and potentially confusing patient reminders.

For example, if a patient appears on your overdue Prophy List but is already scheduled for Periodontal Maintenance, check their Continuing Care setup.

They may still have an old Prophy type attached that needs to be cleared.

Clean data creates clean communication.

Connect Your Continuing Care System to Patient Retention

This isn't just about keeping your lists pretty.

Your Continuing Care system directly affects one of the numbers I watch closely during a Dentrix practice assessment: patient retention.

If patients aren't returning for their regular hygiene visits, your practice may have a much bigger problem than a few holes in the schedule. Your lists give your team something to work every week. Your patient retention number helps you measure whether those systems are actually working.

Make Dentrix Your Grand Central Station

I always say that your practice management software should be your Grand Central Station.

Everything flows through it.

If you're relying on a third-party dashboard to identify overdue patients, remember that dashboard is probably pulling its information from Dentrix.

If your Dentrix data is inaccurate, the outside system may be inaccurate too.

That's why I encourage practices to fix the source first.

Clean Lists Create Better Patient Follow-Up

Your Dentrix scheduling lists shouldn't be digital storage closets.

They should be active working tools your team uses to fill openings, reconnect with overdue patients, and improve patient retention.

Simplify the lists. Remove outdated information. Document your follow-up. Fix broken Continuing Care types. Most importantly, create a consistent workflow your team knows how to follow.

When your Dentrix data is clean and your team trusts the information they're seeing, your scheduling systems become much more powerful.
